The Scheduler will be responsible for managing and coordinating schedules across the client estate, ensuring the seamless delivery of all security services, including both core and ad hoc hours.

Job Description

This role is essential in maintaining operational efficiency, ensuring that the right resources are allocated at the right time, and responding effectively to any changes or urgent requirements.

The Scheduler will proactively manage rotas, balancing workforce availability with service demands while ensuring compliance with contractual obligations and industry regulations. This position requires excellent organisational skills, attention to detail, and the ability to adapt to dynamic operational needs.

Key Responsibilities

  • Manage site schedules, ensuring full coverage of hours.
  • Respond to scheduling emails within 24 hours.
  • Update weekly 'Actuals' to maintain accuracy of recorded hours.
  • Ensure coverage for planned and unplanned absences.
  • Plan and deploy cover officers monthly, prioritising ISS placemakers over third-party suppliers.
  • Maintain scheduling accuracy to minimise pay queries and raise queries as needed.
  • Coordinate third-party cover using Pretium only as a last resort.
  • Raise and manage Purchase Orders (POs) for third-party suppliers.
  • Provide system reports to the Operational Team when required.
  • Maintain communication with the Regional Operations Team and Security Operations Centre.

Professional and Personal Competencies/Qualifications

  • Experience in data input, administration, and scheduling roles.
  • Strong IT skills, with familiarity in iTime/RSA, Pretium, and Coupa.
  • Knowledge of Security Guarding Operations (BS:7499 standard) and KPI service delivery.
  • Excellent communication and interpersonal skills, with the ability to influence and negotiate.
  • Strong attention to detail and accuracy.
  • Ability to work under pressure, handling busy periods effectively.
  • Collaborative team player, adaptable to operational needs.
