Our client is looking for a for a Crewing Administrator for a contract position, located in Aberdeen (Hybrid Working)

ROLE

The Crewing Administrator role will work under general supervision providing day to day administration support to the offshore crewing team within the offshore resources function relating to vessels, encompassing all aspects of the mobilisation and demobilisation for personnel being sent offshore. The position will be responsible for quality and accuracy ensuring that administrative tasks are carried out in an effective and timely manner.

RESPONSIBILITIES

  • Assist the Crewing teams with the Hire Process; supporting all new hires / re-hires in the crewing admin folder and moving crew into personnel files once hired in onboard tracker
  • Ensuring the Marine certification is verified and endorsed against the specific flag state for all mariners under the instruction of the Crewing Teams and Marine planners
  • Assist crewing teams and offshore personnel with the relevant documentation required for processing Seamans Book Applications
  • Request PPE (Personal Protective Equipment) for Offshore crew as necessary, liaising with stores/warehouse team and the SCM department
  • Assist crewing teams and offshore personnel with the relevant paperwork for Schengen visa appointments
  • Assist the crewing teams with collating documentation for various projects
  • Monthly vessel tax review
  • Collection and distribution of mail within the department
  • Other additional administrative duties as required to support the crewing teams
  • Provide support/cover for any other activity within Crewing that maybe required from time to time
  • Train, develop, mentor new personnel into the role

REQUIREMENTS

  • An awareness of the practices required to travel personnel to international locations would be desirable (ticketing, visas, work permits, inoculations etc)
  • Adaptable and pro–active with a structured and methodical approach to tasks, with ability to control workload and deliver in a time-sensitive situation
  • Advanced planning, co-ordination and organisational skills
  • Good communication and interpersonal skills, with the ability to deal with personnel onshore and offshore
  • Proficient in the use of Microsoft Word, Excel and Outlook
  • Prior experience in a similar functional role will be of advantage
  • A working knowledge of geographical locations and travel time between countries would be advantageous
  • Ability to work extended hours occasionally to support the operational nature of the business
